School Community Health
This message was sent to students’ parents on Friday in the Friday Family News Flash:
“Parents, we have had a sharp increase in student illness at our school. Flu, strep, stomach bug, and other sicknesses are spreading amongst our students. We normally have less than 30 students absent on a normal day. For the last nine school days, we have had over 100 students absent each day, mostly due to being sick. Please do not send your child to school if they are sick. If your child runs a fever, they should not return to school until they have been fever-free for over 24 hours (without fever-reducing medication). Also, please remind your child to wash their hands often and not share food or drink with other students. Hopefully, we’ll start to see everyone feeling better soon!”

iReady Diagnostic Window
The iReady Diagnostic Window opens September 6th and closes September 29th. Please log in to iReady and be sure you can see your students. All students are required to take the Math Diagnostic. Only certain students that we assign will take the Reading Diagnostic. We suggest completing the diagnostics as early in the window as possible. If you are new and don’t know how to access iReady, your mentor, a teammate, or John Fisher can help you.
Educators Handbook
To view students’ history of incidents, you must create a roster of the students you want to see. You can create multiple rosters, so you could create one for each of your classes. Also, if you are a coach or club rep, you can create a roster of those students to track their incident history. Click the + button on the toolbar and complete the NEW ROSTER form. Choose the Specific Students roster to create your class, team, or club. Once you create the roster, you can also set up notifications for students on these rosters – that way, you will receive a text and/or email if they have an incident reported.
Math Club
- HCPS has decided to fund a Math Club for K-8.
- Each middle school will have two sponsors at each grade level.
- Each grade level club should meet before or after school for one hour, two days per week per grade level. We will run ours from 3:05-4:05.
- Stipends will be provided to sponsors at the rate of pay here:
- Certified teachers will be paid $25 per hour.
- Certified tutors will be paid $20 per hour.
- Noncertified staff will be paid at their normal rate of pay.
- Noncertified tutors will be paid $15 per hour.
- There will be some opportunities planned by the district where Community Partners are scheduled to come in and do an activity for a math club session.
- If you would like to be a sponsor for the Math Club, please let Amber Brown know.
MTSS/Tier
We are on hold now with tier until we can get our feet under us this week. Mr. Sands, Ms. Henderson, and Ms. Brown have a county meeting for MTSS on Wednesday next week. We’ll know more after that. For now, teachers should be familiar with the MTSS kids in your classes. They are in the FRMS MTSS Spreadsheet (linked to the Hub) where they left off at the end of last year. We are still working on getting the 6th grade’s goals and progress entered.
The plan right now is that Ms. Henderson will start progress monitoring as soon as we can get her trained to do that and as soon as we figure out which students need what. If you are willing to help train Ms. Henderson to give one of the following progress monitoring probes, please let me know so we can teach her:
- Reading Fluency Probes
- Reading Comprehension Probes
- Writing Curriculum-Based Measures
Once we have that new progress monitoring data, we will update the spreadsheet and their paperwork (which we will link to the spreadsheet) with the new data.
Once we have the new data, new interventions can start. We will be working on a plan for this also, and more information will be coming soon about that too.
Constitution Day
Social Studies Teachers, we must recognize Constitution Day on either Friday, September 16th, or Monday, September 19th. Please be sure you have a plan for this. Check your email for a reminder from Dr. Shannon Marlowe for resources.

Thank you for helping this family! We love and miss Jadyn while she gets this medical care.
Summer Learning Student Recommendations
By this past Wednesday we needed to have our list of students to invite to Summer Learning. Every team seems to have added students, but all of the spaces for your team need to be filled with recommendations for students to attend Summer Learning as soon as possible. We also need 8th grade to complete the list of 25 students to recommend for the Rising 9th Grade Summer Bridge. If you have extra spaces and other teams can use them, please give those extra spaces to them. We need to send invitations by mid-next week, so we need to have a final list of initial invites going out. There is a tab at the bottom of the spreadsheet for each grade level to make their student recommendations. If you have any questions, please see Amber Brown.
Scheduling Students for Next School Year
Before the end of the day on Friday, May 14th, we need each grade level to schedule students by teams based on the Mass Scheduling spreadsheet that can be found in the T: drive. I know that Ms. Leslie and Ms. Megan Ford have said that they would help get this completed, but everyone needs to step in and help get it completed for each grade. Please have EC teachers collaborate about appropriately scheduling EC students. There is a color code at the top of each grade level tab for each team for next year. Code the Team column to set them on a team. Please let Amber Brown know if you have questions.
Summer Learning Staffing
Check the Staffing tab on the spreadsheet below. We are still in need of the following teachers for Summer Learning:
- 8:00-11:30
- 6th-grade math
- 8th-grade science
- 11:30-3:00
- Approximately 5 people are still needed for afternoons (no planning – chaperoning trips, leading games and fun, hands-on activities)
- For one position in the afternoons, I need someone who would want to do Thursdays each week (someone else is able to cover Mondays-Wednesdays).
- Summer Bridge (Rising 6th graders join us for STEM/enrichment activities and activities to help them with the transition to middle school)
- We need one more teacher for Summer Bridge (July 12-Aug 1, these dates include 4 workdays).
Please let Amber Brown know if you would like to fill one of these positions or if you have any questions.

We are having each grade level recommend 100 students, and we are planning for about 80 per grade to actually attend. There is a tab at the bottom of the spreadsheet for each grade level to make their student recommendations. WE NEED THESE RECOMMENDATIONS NO LATER THAN WEDNESDAY, MAY 4. Please invite students who have academic deficits and would benefit from our Summer Learning program. We discourage inviting students who we know are significant behavior concerns as other students would behave and benefit from the program. We will be sending invitations home to the students who are recommended. Those invitations will go home after the May 4th deadline for this sheet to be completed. We will give you more details about the invitations as we get closer to May 4th.

End of Year Supply Order
Please get with your teams and discuss any instructional aids, supplies, paper order, bulletin board supplies, class sets of headphones, anything that you would like to have and don’t have and would really benefit from. Get with Pam after you decide, and she will put together a quote for Mr. Haney to consider. Please try to get this to Pam by Tuesday of next week.
Software and hardware requests must be approved by technology before Pam can place a purchase order. Therefore, Pam must have those requests to present to Mr. Haney for approval before she enter approvals for tech. It takes several days for this process. Pam must have all purchase orders completed by April 1, next Friday.
Mr. Haney will decide what to purchase now with our remaining money. Anything that does not make the “okay list” for this end of year expenditure will be considered when our new funds become available after July 1. You will still be able to get what you need prior to next school year.
Mass Scheduling Ratings for Next Year
For our rising 7th graders and riding 8th graders, we need our 6th and 7th grade teachers to begin rating students in the Mass Scheduling spreadsheet for next year. 6th and 7th grade teachers, please go to the T: Drive and locate the Mass Scheduling 2022-2023 spreadsheet. Please choose the correct cohort tab at the bottom and rate students using the rating indicators (these are also located on the first tab of the spreadsheet):
- 5 = Highly Motivated Student – Academically Strong
- 4 = Academically Strong– Behavior Needs Monitoring
- 3 = Average Student
- 2 = Needs Academic Support / Monitor Behavior
- 1 = Struggles Academically – Support Monitoring
We would like to have this done for rising 7th and 8th graders by the end of the day on Thursday, April 7th, so please get with your teams before then to get this done. Please let Amber Brown know if you have any questions.

Love the Bus Week is Next Week
We value our Bus Drivers every single day, but we want to show them, even more, love this week during Love the Bus Week! We have treats and goodies lined up for our drivers throughout the week, but please show your appreciation to our drivers as well. They work hard to get our students to school each day, and being short-staffed with drivers has made it even more challenging. We are so grateful to have such wonderful bus drivers!
Lunch in the Cafeteria
On Monday, we will begin having lunch in the cafeteria. To see the plan, open the Master Schedule and click on the “Lunch” tab that shows when everyone goes to lunch. To the right, there are three columns with important information:
- What time do a team’s students go outside
- What time a team’s representative should pick their students
- Where to pick up their students
Click here to view the seating diagram for the cafeteria.
Testing Reminder
We have quite a bit of testing going on throughout the building. Please remind students how important it is to look for testing signs and to be respectful of those who are testing by remaining silent in the halls when applicable.
Quarantine Support During Planning
Monday, 2/14, our Quarantine Support Sessions begin during planning. Elle will be sharing out the Google Classroom link with students who are quarantined each day, along with the schedule for support for that day. The code to join the Google Classroom for Quarantine Support is m5ues7o. That code can always be found on the first tab of this spreadsheet:

Quarantine Student Support Schedule/Sign Up
Once these sessions begin on February 14th, Elle will share the day’s Quarantine Support schedule and the Meet Link with students who are quarantined that day. The Meet Link will always be the same and will be housed on the front tab of the Quarantine Support spreadsheet.
Click here for more information about providing Quarantine Support: HCPS Middle and High School Quarantine Support Document.
If you have any questions, please let Mrs. Brown know.
Media Collaboration
Anything can happen in the Media Center. Do you need to do a history research project? A physical representation of a science concept? Maybe an interactive Google map that ties to locations of artists? A button-making project that reinforces a math topic? If we can dream it, we can find a way to make it happen (given enough planning)! Ms. Ballard would love to collaborate with teachers and classes. Please use this form to request Media Collaboration.
Lunch Seating Charts
Teachers, please keep seating charts updated for lunch in your classrooms. As of now, while everyone is masked, indoor lunch is the only time where Nurse Hill has to contact trace. If a student tests positive for Covid, Nurse Hill has to know who they were sitting near at lunch on the corresponding days.
Also, please document somehow if your class ate inside or outside each day. If Nurse Hill knows your class ate outside, she doesn’t have to contact trace.
Arrival and Dismissal Procedures in the Gym
Beginning Monday, February 7th, we will return to regular arrival and dismissal procedures. On Monday morning, all of our students will come into the gym at the start of the day. 6th and 7th-grade students will be placed on the Home side and 8th-grade students will be on the Away side. We will need to help guide 6th and 7th-grade students on where to sit or we will run out of room. Students who want to eat breakfast need to sit in the bottom rows. At 7:35 we will start sending students in groups to the lunchroom for breakfast. Students will eat in the lunchroom and return to the gym. When we start to dismiss students to go to homeroom, we need to go a row at a time. 7th grade should exit on the upper end of the gym near “F” hall. 6th-grade students will exit the lower end near “A” hall. 8th grade should be dismissed after 6th and 7th grade.
In the afternoon, we will dismiss bus riders and car riders at 3:05. Please let any students that ride the special needs buses leave at 3:00. At 3:07 we will announce for all 2nd load students to move to the gym. Students will need to sit at their assigned area for each bus. Please do not allow students to sit with other buses. Students should not be in the hallways wandering around the hallways. They should only be in the gym.
We know this will be new for most of our students, but they should get the routine fairly quickly. Please let Mr. Haney know if you have any questions.

School Calendar Change
The 2021-2022 school calendars have been updated to reflect last week’s schedule changes due to winter weather, and the necessary adjustments to recover instructional hours and Required Teacher Workdays.
- Friday, February 18, is now a full instructional day for students on all calendars.
- Friday, February 25, is now a Remote Learning Day for all students as our staff members will be engaged in professional development on this rescheduled Required Teacher Workday.
Teacher Workdays have been added in June on the Traditional and Early College calendars.
All updated calendars may be found online here: www.HCPSNC.org/district/calendar.
Virtual vs. Remote
Under specific circumstances, the school or district could have to move to virtual or remote, as we have had to in the past couple of weeks. Virtual and remote days are different! The differences are explained here:
- “Virtual” Day: Teaching live and synchronous through Google Meet. These days follow the Plan C Schedule tab at the bottom of the Master Schedule.
- “Remote” Day: Asynchronous, Choice Boards (February 25th is now a Remote Day)
For attendance on either of these days:
- All students should be counted as present (1R). This can be revised for any student who does not do one of the following:
- Completes their daily assignments, either online or offline; and/or
- Has a daily check-in, a two-way communication, with the appropriate teacher(s).
Coming Soon! County Office Instructional Rounds
In February we will have visitors from the County Office doing instructional rounds. They are looking to see:

Seating Charts
We still have several teachers who have not updated their seating charts yet. This is urgent and cannot wait. For the health and safety of our students, please make it a priority to keep your seating chart tab updated at all times. With contact tracing, our administrators and school nurse should be able to easily access your seating charts via the spreadsheet. If they cannot access them, it delays notifying parents that their child is a close contact. We have had to notify parents as late at 8:30 in the evening because we were having to contact teachers at home to determine who students sit near in class. If you have any questions about seating charts please ask Mrs. Brown or Nurse Hill.

Please be intentional about taking photos in your classroom and at school events/happenings. Share these photos with Amber Brown via text or email and she will be sure it is shared on our school’s social media accounts. There may be a *reward* coming for staff members who share photos!

Walkthroughs
Admin and our instructional coach, John Fisher, began conducting walkthroughs this week. So far, we have seen many high-yield instructional strategies in action. Thank you for using these to ensure that your instruction is impactful. We have loved getting into classrooms and seeing our students learning and growing. We are, and they are, overcoming so much. We appreciate your dedication during this difficult time!
Your admin team will begin conducting first round of observations in the coming weeks.
Thank You to Our Custodians
This past week was National Custodial Appreciation Week. We appreciate our custodians and all that they do to create a clean, organized environment for our students to learn in. We treated them to lunch out this week, but wish we could do so much more to show our appreciation!
Want to Become a Bus Driver?
See Ms. Brown ASAP to get added to the in-person Bus Driver class December 7-9. Thank you for considering this as an additional way to support our school, our students, and our staff.
Looking Ahead
Friday, October 22nd is an early release day. We plan to provide lunch for the staff on that day.
Also, we understand the pressure and challenges teachers have faced so far this year. Please plan to use the afternoon of Friday, October 22nd to get some long-range planning done. There will be no further expectations of this time.
Thank you for all that you do each day for our students!

2nd Load and NEW Duty Schedule
Based on feedback from teacher representatives at SIT last week, we are changing 2nd load duty and removing it from the gym. Students will remain in class for 2nd load and the teacher will be responsible for supervision and seating charts.
Based on that, exploratory teachers and TAs will be covering the remaining duties in the school. Some duties will remain in place due to preference/need and others will rotate AM and PM. Mrs. Brown tried to work this out to where no one has both morning and afternoon duty on the same day.
Please see the “Sept-Nov” Tab on the duty schedule for this coming week’s duties.
Let Mrs. Brown or Mr. Lancaster know if you have questions.
Fall Pictures
Monday, September 20th we will have Fall Portraits taken with Lifetouch. For safety and security reasons, ALL staff and students are required to have their photos taken.
Staff can begin having their picture taken at 7:30.
Students will have pictures made during the 1st, 3rd, or 5th period during the exploratory time.
There will be a makeup opportunity in October for fall portraits.

IMPORTANT: Attendance
We have discovered students in PowerSchool who were marked “Present” but were actually not at school that day. This is a huge safety concern. Teachers, the accuracy of your attendance should be a high priority. If you must go back to doing old school “Roll Call” to ensure the attendance is correctly marked, please do so.
MTSS / Tier Meetings
On Wednesday, September 22nd there will be a 6th and 8th-grade community meeting about Tier during normal community meeting times. These meetings will be in Anna Dillon and Maggie Moses’s classrooms respectively.
Legends of Learning
We have been fortunate to receive a grant for the paid version of Legends of Learning (math and science games). For more information, math and science teachers should contact Anna Dillon and she will get you set up!
Masks
Reminder: If a student is caught not wearing a mask or not wearing it properly, please ask them to wear it appropriately and consider that a warning. If they aren’t wearing their mask properly, help them to tighten their mask or give them one from school to wear. If a student has to be asked multiple times to wear their mask or wear it correctly, please complete a discipline referral form for refocus. Mask refusal is treated as a dress code violation.
Staff Children
One of the best things about Flat Rock is that we are a family here! Your family, including your personal children, are always welcome in our school after hours. We only ask that you be sure that your child is respectful of our school environment and of everyone trying to work in the building. Thank you!

Quarantined Students
Beginning Monday, teachers will no longer need to check the Quarantine Exclusion list. Ms. Kate Daane will be contacting teachers who have students in quarantine. If you do not hear from Kate, it is safe to assume your students are not excluded at this time.
Extended Absences for Students Not in Quarantine
If a student is absent for more than 3 days, but they are not on the quarantine exclusion list, please reach out to the parents and inquire about the reason for their absence. Let Amber Brown and Kiristie Metcalf know why they are absent, and if they need anything. We will connect the family to the nurse or social worker if applicable.
