Registration & Weekly Fees
Eligibility & Registration
Enrolled Henderson County Public Schools elementary students K-5th grade (not exceeding age 12) are eligible for HCPS Child Care Services.
PSAM & PSPM programs: a non-refundable registration fee of $35.00 per child or $45.00 per family is required at the time of registration. If a child attends both programs, only one yearly registration fee will be charged.
Summer PLUS: a non-refundable registration fee of $50.00 per child includes a T-shirt to wear on field trips. There is no family cap on registration for the Summer PLUS program. Registration is held in early spring, and there is no family cap on registration for the Summer PLUS program.
To register: complete the forms below and return to a Child Care Co-Coordinator. To complete the registration packet, parents/guardians will need:
- Parent/guardian work number, cell number
- Doctor’s name and phone number
- Emergency contact names and phone numbers (at least three contacts other than parents)
- Insurance or Medicaid information (if applicable) and policy number
- Immunization records
- Recent small wallet size photo of child (preferably in color)
- List of those authorized to pick up child and phone numbers
- Custody papers (if applicable)
Parents/guardians will also be required to complete and sign a Fee Payment Agreement and Discipline Contract in the HCPS Child Care Handbook, and a CACFP “Snack” Enrollment Form.

*Required forms. Completed registration forms must be signed and returned to the Child Care Co-Coordinator before a child may attend any of the programs. The parent/guardian who completes and signs the registration documents is the only individual authorized to make any changes, deletions or additions to the information.
Weekly Fee Schedules
Reservations for Child Care programs must be made on a weekly basis. Reservations for care, along with payments, will be due the Friday prior to the week of Child Care desired. Drop-in care is not provided. Please see the fee schedule below for details.

School weeks with Early Dismissal days or Teacher Workdays will result in a total weekly cost that reflects the number of “regular” days and unique “Early Dismissal” or “Teacher Workday” per-day rates, based on the hours of care (PSAM, PSPM, or both) reserved for each child. Families wishing to use PLUS care on Teacher Workdays must reserve and pay at the site they are wishing to use on the Teacher Workday.
Families should make reservations and payments through the K12PaymentCenter, or at their Child Care sites for the following week of registered care. Check out our “Online Payment Information” page for help using K12PaymentCenter.
If paying by cash, the exact amount is required, as change is not kept on site. Checks, money orders, and DSS vouchers are also accepted.
Parents/guardians receiving financial assistance are still required to follow the payment schedule if a parent fee is required. Families receiving financial assistance from DSS must check with DSS to see if a new voucher is needed for each school year and for Summer PLUS care. If a family does not receive a voucher by the first day the child attends care, the parent/guardian will be responsible for full payment for the days attended. DSS funding is limited and is not always available.
Absences
PSAM & PSPM:
Parents/guardians are asked to call the Child Care site that their child attends, in the event that the child will be absent on a day that has been reserved. Dates are not transferable and credit is not given for these days, since HCPS Child Care Services is self-sufficient and does not receive tax dollars.
PLUS:
Since registration for Summer PLUS is held in early spring, consideration is given to accommodate families’ changes for the first week of programming. Any changes to the first week of Summer PLUS must occur before the last day of the school year to receive any credit or transfers of tuition fees collected. Summer PLUS does not offer a daily fee.
Tax ID#
Henderson County Child Care will issue end of year payment statements if requested. Please keep all payment receipts for tax purposes. Henderson County Public Schools Child Care Tax ID# 56-1821543.
